Office relocation is not a bigger house move. It means keeping your staff productive, your equipment safe and your business trading while everything you own changes address.

Caledonia plans and delivers office moves for businesses, schools and public bodies across Scotland. A named project manager surveys your premises, builds the plan with you and is on site on the day. Our own uniformed crews pack, move and rebuild everything, then set each desk up exactly where your floor plan says. Unlike general removal firms, our office relocation services are delivered by trained commercial movers who do this work every week.

Most of the offices we move are open for business the next working day.

How an office move works, step by step

  1. Survey (week 1). We walk both sites, count workstations, check access and parking, and agree your priorities.
  2. Written move plan (week 1 to 2). Timings, crew numbers, crate dates, a labelling system and a fixed price.
  3. Preparation (1 to 2 weeks before). Crates and labels arrive. Your team packs desks using our colour-coded labels. We coordinate with your IT provider and both building managers.
  4. Move day (or a Saturday, on request). Floors, lifts and doorways are protected. Everything moves in planned order and furniture is rebuilt to the floor plan.
  5. Ready for work. Desks are set up and empty crates cleared. Your project manager walks the floor with you before we leave.
  6. Settle-in. In the weeks after, we come back for adjustments, crate collection or clearance of the old building.

The standards behind every move

Workplace Relocation Group. This is the British Association of Removers' specialist group for office and commercial movers. It was called the Commercial Moving Group until 2024. Members are audited every year on how they plan and deliver office relocations.

BS 8522. This is the British Standard written specifically for commercial moves. It sets out how a mover should survey, plan, risk assess and deliver a business relocation. Every Caledonia office move follows it.

ISO 9001. An internationally recognised quality management standard, independently assessed. It means our processes are written down, followed and checked.

Ask any mover you are comparing which of these they hold. It is the quickest way to separate specialists from van hire.

Moving your IT and equipment

We pack, move and reposition desktop computers, monitors, docking stations, printers, phones and peripherals using anti-static protection and labelled crates.

What we handle

  • Desktop computers, monitors and docking stations
  • Printers, copiers and scanners (we will arrange specialist handling for leased copiers if required)
  • Phones and small peripherals
  • Cables bagged and labelled to their desk

What your IT team or provider handles

  • Disconnecting and reconnecting computers before and after the move
  • Disconnecting and reconnecting servers, network and comms cabinets
  • Data backup before the move
  • Network testing at the new site

We work to your IT provider's schedule so systems come back up in the right order. We do not disconnect servers or mainframes, and we will always tell you who should.

How much does an office relocation cost?

Office relocation costs depend mainly on five things. After a free survey you receive a fixed written price, so the figure you approve is the figure you pay.

Cost driverWhy it matters
Number of workstationsSets crew size and crate numbers
Distance between sitesTravel time and vehicle numbers
Access at both buildingsLifts, stairs, loading bays and parking change the time needed
TimingSaturday work costs more than weekday moves
Extra servicesPacking, storage, clearance and IT handling are priced separately

Every office is different, so we price each move individually after the free survey.

Areas we cover

We are office movers for the whole of Scotland, working from depots in Perth and Dunfermline. Most of our commercial work is in:

Book your free office move survey

Tell us where you are moving from and to, your rough date and how many people. A member of our commercial team will reply within 2 working hours.

The cost depends on the number of workstations, the distance, access at both buildings, timing and any extra services. After a free survey we give you a fixed written price, so there are no hourly surprises on the day.

Most small and medium offices move in a single day. Larger moves are phased floor by floor so part of the business keeps working throughout.

Book six to eight weeks ahead for a medium or large office, and two to four weeks for a small one. If your date is closer, call us. We can often still help.

Yes, on Saturdays, on request. A Saturday move is the most popular option for businesses that cannot close, so your team finishes on Friday and starts on Monday at their new desks.

Your IT team or provider disconnects and reconnects computers, servers, network and comms equipment. We pack, move and reposition computers, monitors, printers and phones, and work to your IT provider's schedule.

Usually staff pack their own desk contents into the crates we deliver. We pack everything else, including IT equipment, files, kitchens and meeting rooms.

BS 8522 is the British Standard for commercial moving. It sets out how a mover should survey, plan, risk assess and deliver a business relocation, and every Caledonia office move follows it.

It is the British Association of Removers' group for specialist office and commercial movers, known as the Commercial Moving Group until 2024. Members are audited every year on their office relocation work.

We clear it as part of the move and reuse, donate or recycle it wherever possible, so as little as possible goes to landfill. We are a SEPA-registered waste carrier, registration WCR/R/3016563, and issue a waste transfer note for anything disposed of.

Yes. We store furniture, equipment and archive boxes in our secure indoor warehouse in Perth, inventoried on the way in and delivered when you are ready.
